Terms & Conditions
The terms that apply when you request a quote, book catering, or attend an event catered by Rajwadi Thali Catering. Please read them before confirming your booking.
These Terms & Conditions (the “Terms”) govern catering services provided by Rajwadi Thali Catering (“we,” “us,” or “our”), a vegetarian catering business located at 3352 Mowry Ave, Fremont, CA 94538 and serving the greater San Francisco Bay Area. They also govern your use of this website.
By requesting a quote, paying a deposit, or confirming a booking with us, you (the “Client”) agree to these Terms. If you are booking on behalf of a company, organisation, temple, or another person, you confirm you are authorised to accept these Terms on their behalf.
Your written quote controls. These Terms set the general framework. The specific menu, prices, service style, dates, times, headcount, and any special arrangements for your event are set out in the written quote or invoice we send you. Where your written quote says something different from this page, the written quote applies for that booking.
1. Quotes and estimates
- Website prices are indicative. Prices shown on our menu, packages, and service-styles pages are current list prices and are provided to help you plan. They are not an offer and may change without notice until we issue you a written quote.
- The AI Menu Planner produces an estimate, not a quote. The planning tool on this site calculates an approximate total from your selections so you can budget. It does not account for every variable of your event — venue, access, staffing, travel, equipment, or special requests. Only a written quote from our team is binding on us.
- Quote validity. Unless the quote states otherwise, a quote is valid for 14 days from the date we issue it, and is subject to our availability on your event date at the time you accept.
- Per-person package prices are a starting point. Packages are priced from the rate shown. Premium dishes carry a per-person surcharge, which is itemised on your quote.
2. Booking, deposit and payment
- Deposit. We require a 25% non-refundable deposit to secure your event date. Your date is not held or confirmed until we receive it.
- Balance. The remaining balance is due 7 days before your event.
- Late payment. If the balance is not received by the due date, we may treat the booking as cancelled under “Changes, cancellation and rescheduling” below, or decline to proceed with service.
- Additions on the day. Anything added at or shortly before the event — extra guests, extra trays, extended service time, additional equipment — is invoiced after the event and payable on receipt.
- Taxes and other charges. Prices shown on this website, and any estimate produced by our planning tool, cover food and the service described only. They do not include sales tax, delivery, staffing, equipment, or service charges, and we do not itemise those amounts online. Anything further that applies to your event is confirmed with you before you book. Gratuity is at your discretion.
3. Lead times and availability
We cook to order for your date, so lead time is a real constraint rather than a formality.
- Recommended booking window. We recommend booking 4–8 weeks ahead for most events, and 3–6 months ahead for weddings and peak festival dates such as Diwali and Navratri. Smaller events can sometimes be booked with 2 weeks’ notice, subject to availability.
- Some dishes need longer. A few items are made over more than one day, so they need more notice than the rest of the menu. We will tell you when you enquire, and your quote confirms it.
- Availability. All bookings are subject to kitchen and staffing capacity on your date. We will tell you promptly if we cannot take a booking.
4. Changes, cancellation and rescheduling
- Deposits are non-refundable in all cases.
- More than 30 days before the event: you may cancel with no charge beyond the deposit.
- Within 30 days of the event: we may bill a percentage of the total quote to cover ingredients we have already committed to and staffing we have already scheduled. The closer the cancellation is to the event, the higher that percentage; we will confirm the amount in writing.
- Rescheduling. We will do our best to move your booking to a new date, subject to availability. Your deposit can usually be transferred to the new date once. A reschedule requested within 30 days of the original date may be treated as a cancellation and rebooking.
- Cancellation by us. If we ever have to cancel for a reason within our control, we will refund everything you have paid us, including the deposit. That refund is our total liability in that situation.
5. Guest numbers
- Final numbers. Please confirm your final guest count no later than 7 days before the event, at the same time as the balance. We cook and staff to that number.
- Increases. We will try to accommodate a late increase, but cannot guarantee it, and additional guests are charged at the rates on your quote.
- Decreases. Reductions notified within 7 days of the event do not reduce the amount payable, because ingredients have already been purchased and staff scheduled.
6. Delivery, setup and equipment
- Delivery charges. A flat $35 within 5 miles of our kitchen, plus $5 per additional mile beyond 5 miles.
- Servers. Where your service style includes staff, servers are charged at a flat $300 per server for up to 3 hours. The number of servers depends on your menu and headcount and is confirmed on your quote.
- Setup. Where setup is included, a setup fee applies in addition to delivery. It depends on your venue and the size of your order and is confirmed on your quote.
- Chafing dishes. Available with burner and serving spoon: regular $15, fancy stainless steel $30, fancy copper $50 each.
- Tables and linen. Unless your quote says otherwise, we do not provide buffet tables, linen, or dining furniture. Please arrange these separately.
- Our equipment stays ours. Chafing dishes, burners, serving utensils, and similar items remain our property and must be available for collection at the agreed time. Items that are lost, damaged beyond normal use, or not returned are charged at replacement cost.
- Access and parking. Please make sure we have realistic access, parking, and a suitable place to set up. Waiting time or difficulty caused by access we were not told about may be charged.
7. Food safety and holding times
Prepared food is perishable. These are food-safety limits, not preferences.
- Safe holding window. Hot food should be served within 4 hours of delivery or of the start of service. After that we cannot vouch for it, and it should be discarded.
- Once we hand over, food safety is yours. For pick-up, delivery, and drop-off buffet orders, responsibility for correct holding, temperature, and service passes to you when the food is handed over.
- Reheating. We do not recommend reheating catered food more than once.
8. Allergens and dietary requirements
- We are a fully vegetarian kitchen. We do not prepare meat, poultry, or fish.
- Tell us in writing, in advance. Allergies and dietary requirements must be given to us in writing before your event so the kitchen can plan for them. We cannot reliably accommodate an allergy first mentioned on the day.
- Shared kitchen — no guarantee of absence. Our kitchen handles dairy, gluten, nuts, sesame, soy, and other allergens. We take care to avoid cross-contact, but we cannot guarantee any dish is free of a given allergen. Guests with severe or life-threatening allergies should take that into account.
- Jain, Swaminarayan and no-onion-no-garlic. We can prepare many dishes to these requirements. Some are naturally compliant and others are adapted on request, so please confirm your exact requirement with us rather than assuming.
- You are responsible for informing your guests. Please pass on the dish and allergen information we give you. See our allergen information page for detail.
9. Menu changes and substitutions
- Substitution. If an ingredient becomes unavailable or is not of acceptable quality, we may substitute a dish of equivalent standard and value. Where time allows we will contact you first.
- Changes you request. Menu changes are welcome up to the point our kitchen lead times allow (see “Lead times and availability” above). Changes after that may not be possible, and may affect the price.
10. Your responsibilities as Client
- Give us accurate event details — date, time, address, access, guest count, and any dietary requirements.
- Make sure the venue permits outside catering and holds any licences or permissions the venue requires.
- Provide a safe working environment for our staff, including reasonable access to power and water where the service style requires it.
- Supervise your guests. We are not responsible for the behaviour of attendees.
- Be available, or nominate someone who will be, to receive the delivery and confirm setup.
11. Liability
- We take food safety and service seriously, and we carry on our business with reasonable care and skill.
- Our maximum liability for any claim connected with a booking is limited to the total amount you paid us for that booking.
- We are not liable for indirect or consequential loss — for example loss of profit, loss of opportunity, or venue costs.
- We are not liable for problems caused by information you did not give us, by conditions at a venue we did not control, or by food after responsibility has passed to you under “Food safety and holding times” above.
- Nothing in these Terms limits liability where the law does not allow it to be limited, including for death or personal injury caused by negligence, or for fraud.
12. Events outside our control
We are not liable for failure or delay caused by something genuinely outside our reasonable control — including extreme weather, fire, flood, earthquake, power or utility failure, public health orders, government restrictions, road closures, labour disputes, or failure of a supplier we could not reasonably have foreseen. If this happens we will contact you as soon as we can and work with you to reschedule or to provide what we reasonably can. Where we cannot provide the service at all, we will refund amounts paid for the service not delivered.
13. Photography
We may photograph our own food presentation and setup for our portfolio and marketing. We will not photograph your guests, and we will not use images that identify individuals, without permission. If you would prefer we take no photographs at your event, just tell us in advance and we will not.
14. Use of this website
- This site and its content — text, photography, dish icons, menus, and design — belong to Rajwadi Thali Catering or our licensors, and may not be copied or reused commercially without our permission.
- The menu planner stores your in-progress selections in your own browser so you do not lose them. Clearing your browser data clears them.
- We work to keep the site accurate, but we do not warrant that it is free of errors or always available.
- How we handle personal information is set out in our Privacy Policy.
15. Complaints
If something goes wrong, please tell us as soon as possible — ideally during the event, so we have a chance to put it right there and then, and in any case within 7 days of the event. Contact us using the details below. We take complaints seriously and will investigate promptly.
16. Governing law
These Terms are governed by the laws of the State of California, and the courts of Alameda County, California have jurisdiction over any dispute arising from them.
17. Changes to these Terms
We may update these Terms from time to time. The version that applies to your booking is the version published when you paid your deposit. When we make changes, we revise the “Last updated” date below.
